Business Information System

 

This section is intended for system administrators.

Please exercise caution whenever using these procedures due to the high degree of risk involved with direct accessing the tables from the database. Accessing tables within this section is allowed only with exclusive access rights.

This set of procedures has two distinct layers:

  1. Automatic (system) checking
  2. Manual procedures

 

Automatic (system) checking

Each time a user logs in, B.I.S. checks the integrity of the database. If an error has occurred (i.e. an index is corrupted) a flag in the initialization table is set so that the next user will not be allowed to log in and further corrupt the database. Parallel to this activity all users will be requested to log out so that the system can perform maintenance procedures on the database. Although these procedures will mean shutting down B.I.S. from a database integrity perspective records will not be lost.

An error logging mechanism is implemented inside B.I.S. and although it is transparent to the user any system administrator can read the file and make the necessary adjustments.

TIP: To check the error log please select 'LOGFILE' and Browse.

Manual procedures

Manual procedures are a set of routines written to enhance the acuity of the database and it is required that they are performed at least once a week. The database manager screen looks like this:

 

and it is available only to system administrators.

On the left hand side a list of tables contained in the database is displayed allowing selection by double clicking on the name of the table. The selected object will be displayed by name and index in the right hand side of the screen.

Click on the screen's buttons for help on all features available or here for facility.

Index display

Each table included in the database has a set definition of indexes. Since data in the database can be browsed with the help of this tool, please select the index (order) which will apply to the specified table whenever browsing. All the indexes are hard-coded in the database structure and can not be changed. For additional indexes please contact our support line.

In the above case the system administrator browsing the "defadict" table wishes to display the content ordered by field type.

Browse

After selecting the table hitting the Browse button will open the specified table with the specified order for browsing.

In Browse mode any change operation is allowed with the exception of delete which is still governed by the database integrity rules. (i.e. can not delete a parent record if a child record exists.)

Please exercise caution whenever using these procedures due to the high degree of risk involved with direct accessing the tables from the database. Accessing tables within this section is allowed only with exclusive access rights. Do not change fields you don't have enough information about them. NO UNDO is provided!!!

 

Pack/Reindex

Performing maintenance on the database involves removing old deleted records  and maintaining the freshness of the index records .

Since these procedures are so critical to the database integrity an automatic layer has been hard-coded. The automatic layer is governed by the the dates appearing in the upper right hand side of the screen.

and is set to kick-on DAILY!

The screen will display a thermometer bar like:

and depending on the size of your database this operation could take anywhere from 2 minutes to several hours. 

The trigger will be activated by a system administrator entering database maintenance module.

TIP: To maintain a clean database at the end of a work day access database maintenance module and let the system perform maintenance.

 

Recreate Database

In the case of more severe errors database recreation procedures have to invoked by clicking the button. The recreation process will create the database structure from scratch and append from the existing database tables. Several thermometer bar like:

will be displayed during the process which, depending on the size of your database can take from 5 minutes to several hours.

TIP: To ensure safety of your database please execute this procedure at least once a month and maintain available hard-drive space at least a 3 times the size of your database.

 

Regenerate ON ( B.I.S./ numbering method)

This procedure will automatically calculate the maximum used number for components that are tracked by the system and by that ensuring that uniqueness of those components per point of sales is maintained.

TIP: To view those numbers please select O_NUMBER and browse. Please exercise caution whenever using these procedures due to the high degree of risk involved with direct accessing the tables from the database.

TIP: To change the numbering sequence for your invoices select O_NUMBER , class 'InvoiceNo' and change the value to the desired one for each point of sales.

 

 

Backup

This procedure will automatically create a folder on the root reference named  /BBACKUP  and generate a ZIP format file named based on the date the backup is taken (i.e. if a backup is taken on February 29/2000... the archive name will be :2000229.ZIP)

Remember to copy this information in a safe place (i.e. on another system or on a tape/CD) You can easily extract information from this archive with any ZIP compatible program.

TIP: Backup daily and keep files for a period of a week. Each end of month backup should be stored on a fire proof storage device-IMPORTANT: away from your main office
